Most people who decide to preserve old family photos think they have a scanning problem. Buy a flatbed scanner, run everything through it at high resolution, back it up to the cloud — done. The photos are preserved.
They're not. Not really. A perfectly scanned photograph of an unknown woman in 1940s dress is nearly worthless as a historical document. You know she existed. You know approximately when the photo was taken. You know nothing else. The scan is the easy part. The context — the name, the relationship, the occasion, the place, the story — is what makes a photograph a document. And that context doesn't live in the image. It lives in the people who were there.
Those people are aging. Every year, more of them are gone. The window for capturing the context behind old family photographs is closing faster than the photographs themselves are fading.

Why Old Photos Are More Fragile Than You Think
The physical fragility is real. Old photographs — particularly pre-digital prints, Polaroids, and anything stored in basements or attics — are subject to a slow but relentless deterioration. Fading from light exposure. Foxing, the brown speckled spots caused by humidity and mold. Emulsion lift in photos stored in humid conditions. Brittleness in paper-backed prints. The kind of adhesive used in old magnetic photo albums will eventually destroy the images stuck to it. None of this is reversible once it's happened.
But there is a second fragility that gets almost no attention, and it is more urgent than all of the above: the people who know who's in those photographs are aging. A photograph without a name attached to it is not a preserved memory — it is a mystery. No amount of careful storage or high-resolution scanning changes that. The image survives. The meaning doesn't.
The dual problem, then: you are racing against the physical deterioration of the objects and the cognitive deterioration of the people who carry the knowledge that explains them. Both clocks are running. Physical preservation buys time on one clock. It does nothing for the other. This guide addresses both.
Physical Preservation Basics
This is not a buying guide. Most photo loss happens because of three mistakes, and avoiding them does not require expensive supplies.
Rule 1: Get them out of basements and attics.
Basements and attics are the worst places to store photographs. Both are subject to temperature swings that cause paper and emulsion to expand and contract, accelerating brittleness and cracking. Both are prone to humidity that causes foxing, mold, and emulsion lift. A closet in a climate-controlled room is vastly better. A shoebox in a bedroom closet outlasts a photo album in an attic by decades.
Rule 2: Use acid-free storage if you can.
Standard paper and cardboard are acidic. Over time, that acid migrates into photos, causing yellowing and deterioration. Acid-free sleeves and archival boxes — available at most office supply stores for a few dollars — dramatically slow this process. They are not expensive or hard to find. If you only buy one thing for this project, buy acid-free sleeves for your highest-priority originals.
Rule 3: “Just keep them in a drawer” fails long-term.
The drawer in the kitchen, the rubber band around a stack of prints, the pile in the bottom of a box — these are how photographs get creased, scratched, and stuck together. Physical preservation means individual storage. Each photo separate, face protected, away from direct light. It does not need to be elaborate. It needs to be consistent.
Scanning: The Right Way and the Wrong Way
Scanning creates the backup that survives floods, fires, moves, and estate disputes. The goal is to scan once, at a resolution high enough that you never need to rescan. Here is what that looks like in practice.
Resolution: 600 DPI minimum for photos.
For photographs, scan at 600 DPI at minimum — 1200 DPI for anything small, historically significant, or in poor condition. 300 DPI is fine for documents where you are capturing text, but it is not sufficient for photographic images you intend to preserve. For anything you might someday want to enlarge or examine in fine detail, 1200 DPI gives you room to work.
Format: TIFF for archival copies, JPEG for sharing.
TIFF files are uncompressed — what you scan is what you store, with no quality loss. They are large, but for archival copies, that is correct. JPEG files use compression, which reduces file size but also reduces quality in ways that compound every time the file is saved. Save your master copies as TIFF. Export JPEG versions when you want to share or email. Never save over your TIFF with a JPEG.
Equipment: flatbed scanner beats a phone app.
A flatbed scanner produces the most consistent, distortion-free results. If you do not own one, most public libraries and copy shops have them available. If you are working with a very large collection and need a faster mobile option, Photomyne and Microsoft Lens are practical phone scanning apps — they handle straightening and cropping reasonably well. They are not a substitute for a flatbed scanner on high-priority originals, but they are far better than a standard phone photo.
File naming: build the context into the filename.
A filename like Coleman_Ruth_Portrait_1942_approx.tiff tells anyone who opens the folder exactly what they are looking at. A filename like IMG_4872.jpg tells them nothing. Use the format: LastName_FirstName_Description_Year. Note the approx suffix — if you are not certain of the date, say so in the filename. An honest approximation is always more useful than a confident wrong answer or a missing date.
The Context Problem: Capturing What the Photo Can't Show
This is the heart of the work. Every photograph you preserve needs a metadata record alongside it — not inside the image file, but as a companion document. A text file in the same folder. A row in a spreadsheet. A note in a binder. The format does not matter. The content does.
For each photograph, try to capture:
- Who is in the photo? Full names if you have them. Relationships to the family. If you are not certain, say so — “I believe this is Ruth Coleman's sister, possibly named Viola, but not confirmed.”
- Who took it? If known. Even a general answer — “family photos from this period were usually taken by Uncle James” — is worth recording.
- Where was it taken? Not just the city — the neighborhood, the occasion, the specific address if known. “Front porch of the house on Decatur Street, Birmingham” is a historical document. “Alabama” is not.
- What was happening in the family at this time? Context that the image can't show: a recent move, a death, a reunion, a graduation, a visit from someone who lived far away.
- What do you NOT know? Name the gaps explicitly. “Unknown woman, right side of frame — not identified by any family member consulted.” That note is as valuable as a confirmed identification, because it tells future researchers exactly where to look.
The Thronateeska Evidence Level system applies directly here. A caption with a confirmed name and a dated document to support it is Documented — the highest level. A caption based on what an elder remembered and told you is Oral Testimony. A reasonable guess based on approximate dates and family context is a Working Hypothesis. Any of these is infinitely better than leaving the caption blank. Label the level honestly — future researchers need to know how much weight to give the information.
The format: a text file named Coleman_Ruth_Portrait_1942_approx_notes.txt sitting in the same folder as the image works perfectly. So does a spreadsheet with one row per photo and columns for each metadata field. Nothing fancy is required. What is required is that you actually do it.

Sitting with an Elder and a Photo
The most powerful method for capturing photo context is also the simplest: print a photograph — or show it on a tablet — sit down with someone who was there or who knew the people in it, and ask open-ended questions. Not “is this Ruth?” but “who do you see when you look at this?” Not “was this taken in Birmingham?” but “what do you remember about where this was taken?”
Questions that work well for photo sessions:
- “What was going on when this was taken?”
- “Do you know who's standing next to her?”
- “What was she like?”
- “Does anything in this photo remind you of something I don't know about?”
- “Is there anything about this photo that you always meant to explain to someone?”
These conversations produce the context that transforms a mystery into a document. They also produce oral history — the personal account of who these people were, not just confirmation of a name. Record the conversation if you can. Even a phone recording set on a table is enough. The urgency here is real. This conversation has a window — and it is shorter than you think. The elder who can identify the woman in the photograph may be in excellent health today. That does not mean the window is open indefinitely. Every week this session does not happen is a week during which it could become impossible.

What to Do with What You've Built
When you have photos that are physically stored correctly, scanned at archival resolution, and accompanied by a metadata record and whatever oral testimony you could capture — you have a real archive. That is a different thing from a shoebox. Here is how to protect what you've built and make sure it survives beyond you.
Two formats, two locations.
Store digital copies in at minimum two locations: an external hard drive kept at home, and a cloud backup. The cloud backup does not need to be elaborate — Google Drive, Dropbox, or Backblaze all work. Use a service where you control the upload format; avoid photo services like Google Photos that compress images on upload. The external drive handles fast local access; the cloud backup handles fire, flood, or theft. Both together handle almost every failure scenario.
Who gets a copy.
Family members are the obvious first step — especially any family member with a connection to the people in the photos. But also consider: a local historical society, particularly if the photos document a community or place with historical significance; a university library with a relevant special collections program; a tribal archive or Indigenous cultural center if the collection documents Native family members or community life. These institutions can provide long-term preservation and ensure the collection is accessible to future researchers beyond your immediate family.
The handoff document.
One page. Physical or digital. Titled something like “How This Collection Is Organized.” It should explain: what is in the archive, how the folders are structured, what the naming conventions mean, where the original physical photos are stored, and who to contact with questions. Put it at the top of every digital folder. Put a copy in the physical box with the originals. This document is what lets the next person who cares about this collection pick up where you left off — rather than starting from zero with a pile of well-organized materials they cannot interpret.

The point of all of this is not to produce a perfect archive. It is to produce an archive that is better than a shoebox — that has names attached to faces, stories attached to names, and a structure that means the next generation does not have to start from nothing. Every photograph that leaves your hands with a name on it is a photograph that did not become a mystery.
