How to Store Family Photos and Documents Alongside Your Oral History Recordings

You have things. A recording on your phone. A stack of old photos in a shoebox. A birth certificate in a folder somewhere. What you probably don't have is a system that keeps them connected — so that the recording, the photo, and the document that belong together actually live together. That's what this guide is for.

Most family archives fail not because the materials disappear, but because the connections between them do. A photo of a woman in her Sunday best is meaningful when someone who knew her is alive to say her name. Twenty years later, it's a mystery. A recording that mentions “the house on Vine Street” lands differently when there's a photograph of that house in the same folder. The goal of storage isn't to preserve objects — it's to preserve relationships between objects. This guide walks you through how to do that, both physically and digitally.

Why Photos and Documents Belong With the Recordings

A family photo without a voice recording to explain who's in it becomes unidentifiable in one generation. That's not a hypothetical — it happens in nearly every family. The people who knew the names are gone, and no one wrote anything on the back. The photo survives. The context doesn't. What you have left is a face with no story attached to it.

The inverse problem is just as common. A recording that references “Grandma's house on Vine Street” is richer when the photo of that house exists in the same archive. A story about “the letter from Uncle James during the war” becomes something different when the letter itself is three clicks away. The recording provides the voice, the context, the emotion — the documents and photos provide the evidence and the visual anchor. Neither is complete without the other.

The integration is the preservation. The goal isn't to store things in separate, well-organized piles — it's to store the relationships between things, so the person who opens this archive in 2050 finds everything that belongs together, together.


Physical Storage — What Actually Survives

Before the digital side, the physical originals need a real storage environment — not a shoebox under the bed and not a stack in the attic. Here's what the material actually requires.

Acid-free folders and boxes. Standard manila folders are made from wood pulp that contains lignin, which breaks down into acid over time and degrades everything stored inside them. Acid-free folders (look for “archival” or “lignin-free” on the label) cost slightly more but won't eat your documents. Bankers boxes also degrade — replace them with archival-quality boxes for anything you want to last more than a decade.

Mylar or polyethylene sleeves for photographs. Not PVC. PVC plastic sleeves off-gas acid over time and will damage the photos stored inside them — a process that accelerates in warm or humid conditions. Mylar (polyester) or polyethylene sleeves are the archival standard. They're available at photo supply stores and online, and they cost less than the damage they prevent.

Temperature and humidity: 60–70°F, 30–50% relative humidity. This rules out attics (heat spikes in summer, freeze-thaw cycles in winter) and basements (moisture, flooding risk, mold). The interior of a climate-controlled home — a bedroom closet, a living room cabinet — is generally fine. The single most damaging thing you can do to physical documents is store them somewhere the temperature and humidity cycle widely throughout the year.

Flat storage for documents, vertical for photos. Documents should lie flat — stacking is fine as long as the weight doesn't cause pressure damage to fragile items. Photos should be stored vertically in sleeves, not stacked face to back, which causes surface transfer and pressure cracking over time.

One envelope per document, labeled on the outside. Never write on the back of a photograph with a ballpoint pen — the pressure embosses the image surface and the ink bleeds through over time. If you need to label the back of a photo, use a soft-lead pencil, very lightly. Better: write the label on an acid-free slip of paper tucked inside the sleeve, or on the outside of the enclosure.


Digital Storage — The 3-2-1 Rule

One copy of a digital file is not a backup — it's a single point of failure. Hard drives fail. Phones get lost. iCloud accounts get locked. The standard for digital preservation is the 3-2-1 rule, and it applies to family archives exactly the way it applies to professional archives.

3 copies of everything — the original plus two backups. If one is destroyed, you still have two. 2 different media types — one on an external hard drive, one in cloud storage. Media types fail in different ways: hard drives fail mechanically, cloud accounts can be locked or terminated, so storing on both means you need both to fail simultaneously to lose anything. 1 offsite copy — cloud storage qualifies, or a copy kept at a family member's home in a different location. If a fire, flood, or theft takes out one location, the offsite copy survives.

File naming. Use the same convention for photos and documents as you use for recordings: [Name] — [Year or Date] — [Subject]. For example: Mae Johnson — 1952 — Wedding Portrait or James Crawford — 1944 — Army Discharge Papers. When everything in the archive follows the same naming format, cross-referencing is automatic — a recording and the photo it references will sort next to each other in any folder view.

Recommended services. Google Drive or iCloud for everyday accessibility — both let family members share access and open files from any device. Backblaze for archival backup: approximately $100 per year for unlimited storage, with version history, making it the most cost-effective option for large collections of high-resolution scans and audio files.

Scanning standards. Documents at 300–600 dpi (300 is sufficient for text; 600 if the document has fine detail or you're uncertain). Photos at 600 dpi minimum — 1200 dpi if the photo is small or you anticipate enlarging it. File format: TIFF for archival copies (uncompressed, lossless, the standard for institutional archives), high-quality JPEG for working copies and sharing. Store both if the storage space allows.


The Folder Structure That Keeps Everything Together

Most people organize their digital files by type: all photos in one folder, all recordings in another, all documents in a third. This makes sense for media libraries. It makes no sense for a family archive, where the point is to keep connected things connected.

The better principle: file by person, not by type. One root folder per person. Everything you have for Mae Johnson lives inside the Mae Johnson folder:

When you open Mae Johnson's folder, you see the whole picture of what you have for her: three recordings, eleven photos, a birth certificate, two transcripts. You don't have to cross-reference four separate folders to understand what the archive holds for this one person.

notes.txt or notes.docx as a running log. Inside each person's folder, keep a plain-text or Word document that tracks: what you have, what you know is missing, where each item came from, and any context that doesn't fit in the file name. “The 1952 wedding photo came from Aunt Dorothy in March 2025. She has more from this period.” That note is part of the archive.

A single index document at the top level. Above all the person folders, one document: who is in this archive, what years are covered for each person, what is known to be missing, and any notes about the collection overall. This is what makes it possible for someone who wasn't part of building the archive to understand what it contains without opening every folder.

Scanning Old Photos and Fragile Documents

The question isn't whether to scan — it's how to scan well enough that the scan actually replaces the original as the working copy, so the original can stay in its archival sleeve and not be handled again unless necessary.

Flatbed scanner vs. phone scanning apps. A flatbed scanner is the standard for anything you intend to keep permanently. The Epson Perfection V39 (~$80) and V600 (~$250) are the most widely recommended consumer models for family archive work — both produce the resolution and color accuracy that institutional archives accept. Phone scanning apps (Google PhotoScan, Microsoft Lens) are useful for quick captures when you're at a relative's house and can't bring a scanner. They are not a substitute for flatbed scanning for anything fragile, unique, or high-value — phone apps compress, introduce lens distortion, and depend on even lighting that is hard to achieve with a handheld device.

Scan before anything else. If the photo or document is fragile, deteriorating, or unique, digitize it before you do anything else — including touching it more than necessary to get it onto the scanner. Every additional handling is a risk. If the document is folded, don't unfold it to flatten it — scan it as-is first, then consult a conservator before attempting to open a document that has been folded for decades. A crack through an old photograph during unfolding is permanent.

What to do with the original after scanning. Re-sleeve it in an archival sleeve, return it to its archival box, and store it. The scan is the working copy — the version you email, share, attach to documents, and use for research. The original is the archive. These are two different things with two different purposes, and treating them as interchangeable is how originals end up handled, damaged, and eventually lost.

Connecting the Physical and Digital — A Labeling System That Bridges Both

A physical archive and a digital archive are only one system if they reference each other. Otherwise, you have two separate collections that happen to contain overlapping material — and no way to tell, without opening both, whether a given item exists in one place or both.

Every physical item gets a label. On an acid-free slip tucked inside the sleeve or envelope: the person's name, approximate date, location or context, and the digital file name of the corresponding scan. “Mae Johnson — approx. 1952 — Wedding portrait. Digital file: Mae Johnson — 1952 — Wedding Portrait.tiff”. Anyone who opens that sleeve knows exactly what digital file corresponds to what physical original.

Every digital file references the physical item. In the notes.txt inside the person's folder, or in the file's metadata if your archive software supports it: “Original photo in archival sleeve, red box labeled ‘Mae Johnson.’” When someone is looking at the digital scan and wants to know if the original still exists and where it is, that reference tells them.

A finding aid. In library and archival practice, a finding aid is a one-page document that describes what a collection contains, how it's organized, and how to navigate it. You don't need to write one in archival format — but a simple document at the top level of your archive that lists every person represented, what years are covered, what format the materials are in, and where originals are physically located does the same job. It makes it possible for another family member to navigate the archive after you — without calling you to ask where something is, or worse, without that option because you're no longer there to ask.

The archive doesn't have to be perfect to be useful. A labeled folder with 10 photos and 3 recordings, named consistently and backed up to two locations, is infinitely more accessible than a shoebox of unnamed prints and a phone full of unlabeled voice memos. Start with what you have. Add context as you go. The work is cumulative — every label you write, every connection you document, is permanent information that wouldn't exist without you.
