How to Preserve Oral History Recordings for 100 Years

You recorded the interview. You have the audio file, or the video, sitting on a hard drive or a phone somewhere. The recording exists. That part is done. Now comes the harder question: will it still exist in fifty years? In a hundred? Will your great-grandchildren be able to hear it?

The answer depends on decisions you make now — not once, but on a recurring schedule for as long as you live, and hopefully passed down to whoever comes after you. Preservation at this timescale is not a purchase. It is a practice. This post explains what that practice looks like.

Why Recordings Disappear

The threat most people imagine is fire or flood. Those are real. But the threat that has already destroyed more family recordings than any disaster is quieter: format obsolescence. MiniDV tapes from 2003 are unreadable in most homes today — the cameras that played them are gone, and the decks that could digitize them are nearly impossible to find. DAT cassettes from the 1990s are in the same condition. Betamax. 8-track. LaserDisc. Each of these formats outlived the ecosystem required to read it.

The problem is not decay alone — it is that the technology required to read a format dies before the media does. A MiniDV tape recorded in 2001 may still hold a perfectly intact magnetic signal. It does not matter. If you cannot play it, it is gone.

There are three distinct threats to a recording's survival, and long-term preservation requires fighting all three actively: format obsolescence (the technology to read it disappears), physical media decay (the storage medium degrades), and single-copy failure (the one place it lived stops working). A recording protected against two of the three is still vulnerable. All three require active defense.


The 3-2-1 Backup Rule, Applied to Oral History

The 3-2-1 rule is the baseline standard for digital preservation: 3 copies of the file, stored on 2 different types of media, with 1 copy held offsite. It was developed for corporate data backup and applies just as cleanly to family oral history archives.

Copy 1: Primary working drive. An external SSD, 2TB or larger. This is your everyday access copy — the one you open files from, add new recordings to, and work with regularly. Because you touch it often, you will notice if something goes wrong.

Copy 2: Second physical drive, different location. A second external drive kept somewhere that is not your home — a trusted relative's house, a safe deposit box, your church office. Not the same building as Copy 1. The point is that a single fire, flood, or theft cannot take both copies. This drive does not need to be accessed frequently — it is insurance, not a working copy.

Copy 3: Cloud backup. Not Dropbox or Google Drive as your primary archive — consumer sync services silently delete files during conflict resolution and do not maintain full version history. For a family oral history archive, use a service built for storage integrity: Backblaze B2 (cheap, reliable, designed for backup), Amazon S3 Glacier (very inexpensive for cold storage you rarely access), or a dedicated digital preservation service like DuraCloud (built specifically for long-term cultural heritage preservation). These services hold versions, log access, and do not surprise you with silent deletions.

The failure mode most people are living right now: one copy, on a phone or laptop, with no offsite backup. When that device fails — and consumer devices fail — the recording is gone. Not damaged. Gone. The 3-2-1 rule exists because any single storage medium, no matter how reliable it seems, will eventually fail. Redundancy across types and locations is the only protection.


File Formats That Survive

Where you store a file matters. The format you store it in matters just as much — and is the factor most families never consider until it is too late. An archival format is one that is openly documented, widely supported, and unlikely to become unreadable as software changes over the next several decades.

Audio. The archival standards are WAV (uncompressed, 44.1kHz/16-bit minimum) and FLAC (lossless compressed — smaller file size, no quality loss). Both are openly documented formats that institutions have used for decades and will continue to support. Do not use MP3 as your archival format. MP3 is lossy — it discards audio data to reduce file size — and degrades with each re-encode. It is a delivery format, not a preservation format. If your only recording is an MP3: keep the original exactly as it is, do not re-encode it (re-encoding a lossy file makes it worse, not better), and label it clearly as a working copy.

Video. For true archival quality, the professional preservation standards are ProRes (Apple QuickTime .mov container) and FFV1 (.mkv container) — both lossless, both used by major archives and institutions. For most families, these file sizes are impractical. MP4 with H.264 encoding is the realistic choice — adequate for access and sharing, widely supported, and much smaller. If you use MP4/H.264, label it as an access copy, not an archival master. The distinction matters for anyone who works with your archive later.

Document companions (transcripts, consent forms). Use PDF/A — the archival variant of PDF, designed to embed fonts and remain readable without the original software. Plain text (.txt) as a secondary backup for transcripts: no formatting, no special software required, readable on any device made in the last fifty years or likely the next fifty.

The practical rule for phone recordings: export the file in the highest quality the app supports, check what format it exported in, label the file with that format, and never delete the original source file from the device until you have confirmed the export transferred successfully to your backup system. Naming, Labeling, and the Finding Aid

A file named IMG_4823.m4a is not a preserved recording. It is a file that will be completely unidentifiable in twenty years — and probably in five. When the person who knew what that file contained is no longer here to explain it, it is, for all practical purposes, gone.

Use a consistent naming convention for every file: [LastName_FirstName] — [Interviewer] — [YYYY-MM-DD] — [Topic or location].wav. Example: Williams_Dorothy — James Williams — 2026-07-02 — Migration from Mississippi.wav. The date in YYYY-MM-DD format sorts correctly in any file system. The names make the file findable by someone who wasn't there. The topic provides context before anyone opens it.

Every file should have a companion metadata document — a .txt or PDF/A file stored alongside it — containing: the full name of the subject, date and location of the recording, name of the interviewer, language(s) spoken, subjects covered, equipment used, and any known technical issues (background noise, dropped audio, gaps in the recording). This is the finding aid — the document that lets someone else navigate the archive without having to ask you. An archive without finding aids is a collection of files. An archive with finding aids is a usable record.

Migration — the Task You Must Do Every 5–10 Years

This is the most important concept in long-term preservation that almost no one knows to do. You cannot back up a file once, put it on a drive, and consider the work finished. Formats age out. Media degrades. The tools required to read a format stop being maintained. Preservation at 100 years is not a one-time action — it is a recurring commitment.

The rule: every five to seven years, check your drives, verify your files, migrate to current formats if the old ones are aging out, and replace aging physical media. Tools for verification: TeraCopy (Windows, runs checksums automatically during copy operations), md5sum (command line, available on Mac/Linux), Bitrot (cross-platform, designed specifically to catch silent file corruption). A checksum comparison tells you whether a file has changed since you last verified it — which is how you catch hard drive failures and silent data corruption before they become total losses.

A few concrete examples of where the window stands right now:

  • VHS: Consumer VHS tapes have an estimated lifespan of 10–25 years from recording date. If a tape was recorded in 2001, it has reached or passed the outer edge of that window. Many have already degraded past the point of recovery. What is still playable: digitize now, today, before that window closes entirely.
  • MiniDV: Same situation. MiniDV tapes from the early 2000s are entering their degradation window. The decks needed to play them are increasingly scarce. If you have MiniDV tapes, they are urgent.
  • Consumer hard drives: A standard consumer HDD has a reliable lifespan of three to five years under regular use. A drive you bought in 2020 and have been using as your only backup is not trustworthy. Do not trust a drive you have not checked in five years — replace it before it fails, not after.
  • CDs and DVDs: 10–30 years depending on manufacturing quality and storage conditions. Not a long-term medium. If your archive lives on burned discs, migrate it to a current drive now.

Set a calendar reminder. Put it in your phone for five years from today. When it fires: check every drive, run a verification pass, replace any media that is aging out, and migrate any formats that are approaching obsolescence. Then reset the reminder for five more years. That recurring task — done consistently — is what keeps a recording alive across a century.


Institutional Donation as a Preservation Strategy

There is one more option worth naming — one that most families do not consider until it is suggested. You can donate a copy of your recordings to an institution that has professional preservation infrastructure: a state historical society, a tribal archive, a university library, an HBCU special collections department, or the Library of Congress American Folklife Center.

These institutions maintain climate-controlled storage, migrate formats on a professional schedule, employ staff whose job is preservation, and will almost certainly still exist in one hundred years. They are in the business of exactly this problem.

A donation does not mean giving up your copy. It means creating a preservation partner. Your family keeps everything — every original file, every transcript, every photograph. The institution keeps a redundant copy with professional care and makes it accessible to researchers, educators, and future family members who may not know where else to look. This is not an alternative to the 3-2-1 rule. It is a fourth copy, held by an institution that will outlast any hard drive you own.
